As a wedding coordinator, I’ve learned that managing vendors isn’t about control — it’s about clarity, communication, and teamwork. Here’s how to keep your wedding vendors organized and stress-free so you can relax and focus on what matters most: celebrating your love.

1. Create a Master Vendor List Early
Your vendor list is the foundation for smooth coordination.

  • Keep all vendor names, phone numbers, and email addresses in one central document.

  • Include arrival times, setup needs, and who each vendor reports to (ideally, your planner).

  • Share this list with your wedding coordinator and anyone helping with logistics.

  • Store it digitally (Google Drive or Dropbox) and print a few copies for the day-of.

Planner’s Tip: A well-organized contact list can prevent dozens of last-minute questions. Think of it as your wedding-day safety net.

2. Build a Realistic Timeline — and Share It Early
Your timeline is what keeps everyone on the same page.

  • Finalize your master timeline at least two weeks before the wedding.
